I. OUR RATE
All rates provided are gross, per person, quoted in US dollars and based on double/twin shared accommodation, unless otherwise indicated on the itinerary & cost proposal you will receive from our sales agents. For guests requesting single accommodation, single supplement is applicable. All rates are subject to adjustment in the event of any significant monetary, tariff changes and/or unforeseen circumstances. The cost of airfares and taxes including airport departure taxes, port taxes and entrance fees to national parks are subject to change without previous notice. This information will be reconfirmed at the time of booking.
Children under 12 years of age are normally eligible for discounts at hotels if accompanied in room by an adult or sharing room with their parents. Discounts may also apply on airlines. Infants under two years of age often travel without charge. Our sales representatives will advise of the possible discounts that may apply at the time of booking.
Price Inclusions or exclusions will be detailed on the itinerary & cost proposal. Price supplement may apply to some services due to special dates as Christmas Day or New Years Eve.
II. BOOKING PROCEEDURE
You can contact our sales agents by email, phone, or Skype.
According to your request, an Itinerary & Cost proposal will be submitted to you for approval. Once we receive your confirmation of booking, a reference number will be allocated 24 hours after receipt of the reservation; this reference number will be included in your Itinerary & Invoice.
III. SECURING A BOOKING
In some cases, a deposit of 20% of the total price of the tour program will be required in order to secure the booking. For Galapagos, other cruises or jungle lodges special deposit policies may apply. This information will be confirmed by your sales agent at the time of booking. Please note some of these deposits are not refundable. Your sales agent will inform you accordingly.
IV. TERMS OF PAYMENT
Full payment is required at least 45 days prior to the start of the program unless previously agreed otherwise in writing. We reserve the right to cancel all services if full payment has not been received by the due date. Due date will be clearly stated on the Invoice. V. DEPOSITS AND ACCEPTABLE FORMS OF PAYMENTS.
All deposits and payments should be made in US dollars by means of a transfer to the bank account specified on the Invoice (unless otherwise indicated). Please note the cost of wire transfer will not be assumed by Latin Roots.
VI. CANCELLATION POLICY & REFUNDS
Cancellations will only be accepted in writing and are effective from the day they are received by Latinroots Travel Company.
- For cancellations done up to 40 days prior to the start of the program: No cancellation fee applies from Latin Roots Travel. Full refund will be made, less any deposits or payments made already to our suppliers which are not recoverable. Refunds will be credited to future bookings with Latin Roots Travel Co. If NO future bookings apply, the applicable refunds will be credited to your account by wire transfer or international check. Latinroots Travel Company will not assume the cost of wire transfer, mailing, taxes or any government fees resulting from this transaction.
- For cancellations made 39 days or less prior to the start of the program: no refund whatsoever will be made.
- No refunds can be made for services booked and then not used during the tour.
Alltours are subject to availability upon receipt of booking and a deposit (if requested). Itineraries are subject to change without previous notice due to special circumstances, for example weather condition, political situations, natural disasters or other events beyond our control. Where we may know of these changes sufficiently in advance, we will notify you, other wise one of our representatives will advise you about changes on the spot.
Changes requested on the itinerary within 30 days prior to the first day of the tour, or modifications requested during the tour operation are subject to additional charge if applicable. Guests will be also responsible to cover any extra expenses resulting from the itinerary modification.
Hotels classifying system applied in European counties or in North America should not be applied in Latin America as different criteria and quality standards are set. Hotels used by Latinroots Travel Company have been classified and individually assessed under the Criteria of Service Quality as perceived by Latin Roots Travel.
All rooms have private facilities unless otherwise indicated. Certain lodges located near Indigenous communities, natural reserves or family staying accommodation usually have shared bathroom facilities.
All hotels mentioned in the itinerary proposal are subject to availability at the time of booking, we reserve the right to use alternative hotels of a similar standard if the hotel originally quoted is not available by the time of booking confirmation.
Tours and transfer services provided by Latin Roots include English speaking guide unless only transportation services are requested. For only transportation requests, we reserve the right to approve which tours could be operated in this basis. Please advise your sales agent by the time of booking if you require a guide conversant in another language. Extra charges may apply for this service. Please also inform us about any other special requirement or interest of guests; we will do our best in order to match the appropriate guide for your tour. All our guides are accredited by the Ministry of Tourism.
Transportation provided on most tours is private transportation unless stated in the final itinerary. Air conditioned vehicles will be provided when they are available in areas where it is deemed necessary.
Please request our sales agents any information you may need before your trip, including information concerning to travel documents, climate, immunizations, recommended packing, luggage allowances etc. Pre trip info document will be provided by our sales department answering these questions, including a list of emergency contact numbers. Full itinerary will be also sent two weeks before the start of the tour. Sales agents at Latinroots Travel Company will be also able to send any other additional information upon request.
Latinroots Travel Company is not responsible to neither obtain nor pay for necessary travel documents for the tour (passport, visa, tourist card and/or any other travel document required)
Each traveler is responsible for his / her own travel insurance including medical, travel and personal belongings. We strongly recommend that each person purchase travel insurance for any kind of trip to be done anywhere in the world.
XIV. LIMITS ON LATIN ROOTS TRAVEL ́S RESPONSABILITIES
Latinroots Travel Company, located in Quito, Ecuador, South America and its affiliates, owners, agents and employees, are not acting as principals but only in the capacity of agents for the companies, corporations, organizations, owners, contractors or subcontractors providing accommodations, transportation, meals or other services, and are not subject to Latin Roots Travel control. All coupons, contracts, vouchers, receipts or tickets issued by Latinroots Travel Company are issued subject to any terms and conditions under which any accommodations, transportation or any other service whatsoever are provided by such companies, corporations, organizations, owners, contractors, subcontractors or by their persons employed. Neither Latin Roots Travel, nor any of its affiliates, owners, agents and employees shall become responsible for any loss, injury (including death), damage, expense, deviation, inconvenience, delay or interruption of vacation arrangements caused to or suffered by any person or their property, resulting directly or indirectly from any acts of God, dangers incident to the sea, technical problems of aircraft, vessel, vehicles, machinery or equipment, acts of government or other authorities de jure or de facto, strikes, wars whether declared or not, hostilities, terrorist activities, civil commotion, riots, thefts, pilferage, epidemics, quarantines, medical or customs regulations, defaults, or from any causes beyond the control of Latinroots Travel Company, or from any loss or damage resulting from improperly issued passports, visas or other documents and that neither Latinroots Travel Company nor any of its affiliates or subsidiaries shall be held liable or responsible for any additional expenses or liability sustained or incurred by the guest as a result of any of the foregoing causes. Latinroots Travel Company reserves the right to decline to accept or retain any person as a guest, should such person's health, mental condition, physical infirmity or general deportment impede the operation of the program or the rights, welfare or enjoyment of the other tour members. Latinroots Travel Company is neither responsible for any loss, injury or damage to person or property resulting from the bad behavior of the person/s or company/ies subject to this contract. The right is reserved to substitute accommodation, transportation or alter the itinerary or reverse the places to be visited where deemed necessary. The right is reserved to cancel any program prior to departure. If any program must be withdrawn prior to the departure, Latinroots Travel Company maximum liability is limited to the amount paid to Latinroots Travel Company for its services.
Latinroots Travel Company is neither responsible nor liable for the defaults of those not directly under the control of Latinroots Travel Company.
It is not within the responsibility of Latinroots Travel Company to ensure that guests do not have any health impediments that may prevent them from/make it inadvisable to participate on any of the tours
In the absence of a specific agreement between Latinroots Travel Company and a person or company, the engagement of services proposed by Latinroots Travel Company will constitute acceptance by all parties of the terms and conditions specified herein.
